What changes at 5–20 properties
This is where a host starts becoming an operator. Messaging and channel sync still matter, but the cost of poor process grows quickly. Team permissions, task assignment, owner reporting, payment workflows and portfolio-level visibility become more important with every additional property.
Model the cost at your future size
Do not compare platforms only at today's property count. Price the stack at 10, 15 and 20 properties and include paid modules. A platform that is inexpensive at five units may not remain the best value after the portfolio doubles.
Test recurring workflows
During a trial or demo, ask the person who performs the work to complete realistic tasks: move a reservation, change a minimum stay across properties, find an owner statement, assign a turnover task, trace a guest message and export accounting data. Workflow speed is a more useful signal than a feature checklist.
Buying checklist
- Role-based access for staff and contractors
- Owner reporting and statements if relevant
- Cross-property automations
- Direct-booking economics
- Integration coverage
- Onboarding and migration workload
